User Guide🔄 Workflow

Workflow

Use Workflow to submit approval requests and check their progress and history. It currently supports credit limit increase and agent publication requests.

Opening Workflow

Open the profile menu at the bottom of the sidebar and select Workflow. When requests are waiting for review, the menu and profile icon show the pending count.

Workflow Settings

Administrators and owners can select Settings in the upper-right corner of the Workflow list to open Workflow Settings. There, they can turn the agent publication approval process on or off.

  • When enabled, an AI Operator must submit an approval request to publish an organization agent.
  • When disabled, an AI Operator can publish an agent without approval.
  • To turn the process off while requests are pending, those requests must also be cancelled.

Checking Requests and History

  • My requests: Check the status of requests you submitted.
  • Requests to review: If you have approval authority, check requests that need your review.

Select a request to view its target, reason, reviewer, review date, and processing history. Requests are shown as Pending, Approved, Rejected, or Cancelled.

Common Request Flow

  1. Select New request.
  2. Select a request type and enter the required information.
  3. Select Request.

Requesters can cancel only their own Pending requests. Rejected requests can be submitted again after the details are updated. You cannot submit a new request while a request for the same target is pending.

Credit Limit Increase

Requester: Members with a personal or organization credit limit can submit a request. Launchers cannot submit a request.

Approver: Administrators and owners have approval authority. AI Operators, Members, and Launchers cannot approve requests, and requesters cannot approve their own requests.

How to Request

Enter a final limit greater than the current limit. You cannot submit a request when no personal or organization limit is configured and credits are unlimited.

Check the current usage, limit, and applicable period, then enter the final limit and a reason. You cannot submit a request for another member’s limit.

Approval and Results

An administrator or owner reviews the request. They can review the limit and usage at the time of the request, the requested limit, and the reason before approving or rejecting it. A requester cannot approve their own request.

  • Approved: The requested limit is applied as the personal limit and takes precedence over the organization limit. The limit remains in effect even after usage resets.
  • Rejected: The limit does not change. Review the rejection reason and submit a new request if needed.
  • Cancelled: The limit does not change.

Agent Publication

To submit an agent publication request, enable the agent publication approval process in Workflow Settings.

Requesters and Approvers

Requester: From the Workflow menu, AI Operators, administrators, and owners can create publication requests for organization agents. When activation is started in Agent Management, only AI Operators are routed to an approval request; administrators and owners can activate the agent directly. Personal agents are not subject to this approval process.

Approver: Administrators and owners have approval authority and cannot approve their own requests.

How to Request

  1. An AI Operator can try to activate a disabled organization agent in Agent Management. Alternatively, AI Operators, administrators, and owners can select New request in Workflow.
  2. When starting from Agent Management, select Move to new request in the dialog.
  3. Select the agent to publish, enter the reason and sharing scope, then select Request.

Set the sharing scope to the whole organization or to selected users and user tags. While a request is pending, the agent status and sharing scope cannot be changed.

Approval and Results

Administrators and owners can open a request in Requests to review to check the agent details, sharing scope, reason, and history before approving or rejecting it. A rejection reason is required.

  • Approved: The agent is enabled and becomes available to users in the requested sharing scope.
  • Rejected: The agent remains disabled. Update the details and submit a new request if needed.
  • Cancelled: The agent remains disabled.
